4.6 Website and technical information
Web servers, content-management systems, security tools, forms, language preferences, or similar website components may generate technical information such as IP address, browser/device information, timestamps, referrer/source URL, log data, cookie identifiers, or form metadata.
5. How information may be used
Subject to the purposes and legal bases approved below, information may be used to:
- receive and review an inquiry or submission;
- contact the submitter about the route they selected;
- understand the requested language, branch, subject, timing, product, project, or high-level support context;
- assess whether the inquiry is suitable for a DOUTRES Group, HIG, SIG, or MIG next step;
- operate and secure the public websites and forms;
- keep records required by an approved operational, legal, security, or dispute-handling process.
DOUTRES must not use or disclose submitted information for an unstated purpose merely because a public form technically permits collection.
All form notifications are directed to contact@doutresgroup.com. Eventual storage for HIG, SIG, and MIG submissions is DGCRM. No marketing tracking is applied to form submissions.
6. Sharing and service providers
DOUTRES may share information with generic service-provider categories (such as website hosting, email delivery, form handling, and CRM storage) only as necessary to operate the covered public surfaces and respond to inquiries.
DOUTRES does not sell personal information, does not share it for targeted advertising, and does not use form submissions for marketing tracking.
HIG, SIG, and MIG submissions are stored in DGCRM. Internal access is restricted to authorized personnel on a need-to-know basis.
7. Cookies, analytics, and similar technologies
Google Analytics is approved for use on DOUTRES Group websites. No other analytics services are currently approved.
Essential cookies (such as those necessary for website operation, form submission, and security) are used without requiring consent.
Non-essential tracking, including Google Analytics cookies, requires user consent before activation. A consent mechanism must be provided, allowing visitors to accept or decline non-essential cookies. The consent choice is respected for the duration stated in the consent notice.
No advertising cookies, marketing pixels, or third-party tracking beyond Google Analytics are authorized unless separately approved by Cedric.
8. International or cross-border handling
Information submitted through DOUTRES Group websites may be transferred to and processed in jurisdictions where DOUTRES, its service providers, or DGCRM operate. Appropriate safeguards are maintained to protect information during transfer and processing, consistent with applicable data protection requirements.
9. Retention and deletion
Information is retained for the period necessary to fulfill the purpose for which it was collected, and subsequently deleted or anonymized in accordance with purpose-based retention schedules:
- DOUTRES Group general inquiries: retained for the duration of the inquiry resolution plus a reasonable administrative period.
- HIG healthcare-coordination inquiries: retained for the duration of the inquiry and any resulting coordination, plus a reasonable administrative period.
- SIG sourcing inquiries: retained for the duration of the sourcing project or inquiry lifecycle, plus a reasonable administrative period.
- MIG product quotation and supplier proposal inquiries: retained for the duration of the commercial inquiry lifecycle, plus a reasonable administrative period.
- Website logs and technical data: retained for a reasonable security and operational period.
- Legal-hold exceptions: retention may be extended where required by law, legal process, dispute resolution, or an approved legal hold.
Retention periods are applied per category. Information that is no longer required is securely deleted or anonymized.
10. Security, confidentiality, and submission boundaries
DOUTRES implements reasonable administrative, technical, and physical safeguards to protect information submitted through the covered public surfaces. However, no website, email, form, or internet transmission can be guaranteed to be completely secure.
Visitors should not submit emergency requests, full medical records, ID documents, payment-card details, confidential contracts, trade secrets, regulated dossiers, certification originals, export-controlled information, patient data, or other highly sensitive materials through a public general form unless DOUTRES provides a specifically approved process for that purpose.
If a data incident affecting personal information occurs, DOUTRES will provide notice as required by applicable law.
11. Choices and privacy rights
A person may contact contact@doutresgroup.com with a privacy question or request. DOUTRES may need to verify identity and authority before disclosing, correcting, deleting, or otherwise acting on information, especially when a request concerns another person, a patient/family inquiry, a company, a supplier, or a commercial record.
Applicable rights, response periods, and any jurisdiction-specific wording are as provided under the applicable data protection law of the user’s jurisdiction.
12. Children and representatives
HIG forms allow a parent, guardian, or authorized representative to identify a high-level relationship to a patient. The forms instruct representatives to submit only limited high-level information at the public-form stage and to confirm their authority to act on behalf of the person concerned.
DOUTRES does not knowingly collect personal information directly from children without appropriate parental or guardian consent where required by applicable law.
13. Language status
English is the authoritative source for this Privacy Policy. French and Chinese versions are convenience translations only after they are reviewed against the same frozen English version. Until exact parity with the English source is proven and reviewed by DGroup and Cedric, French and Chinese routes remain as noindex handoffs to the English source. Once parity is confirmed, translations become indexable with reciprocal hreflang.
If a reviewed translation differs from the English source, the English source controls to the extent permitted by law.
14. Branch addenda
HIG healthcare inquiries
Anchor ID: hig-healthcare-inquiries
HIG public forms support initial, high-level healthcare-coordination inquiries. They are not emergency channels and do not provide diagnosis, prescription, treatment, medical decision-making, or emergency response through the website.
Visitors may include detailed health-related free text in the initial message. However, visitors must not submit full medical records, ID documents, payment details, scans, or highly sensitive files through the public form. The form provides no public file-upload control and does not claim to be an approved secure-document process. Separate instructions for document handling may follow after initial inquiry.
HIG may receive the categories listed in section 4.2 to understand and review the inquiry and to contact the submitter about a possible next step.
HIG’s role is limited to healthcare-coordination inquiry and routing. HIG does not provide clinical diagnosis, prescription, treatment, or emergency medical services. Any coordination, provider involvement, or document review depends on appropriate review, acceptance, provider availability, and any required legal or medical process.
SIG sourcing inquiries
Anchor ID: sig-sourcing-inquiries
SIG public forms support buyer-side sourcing inquiry and project-scoping intake. SIG is owned by DOUTRES Group Limited (Cedric as operational owner, later DGCRM-assisted). They may receive the categories listed in section 4.3. The current form provides no public file-upload control and warns against confidential contracts, bank details, IDs, and sensitive personal data in the first submission.
File uploads (DOCX, XLS/XLSX, PDF, PPT/PPTX, maximum 20 MB per file) are planned but remain disabled until DGCRM storage, malware scanning, access control, and retention are technically proven. Until then, document sharing is handled through separate follow-up communication, not through the public form.
Submission of a SIG inquiry does not create a confidentiality obligation or automatic non-disclosure agreement. Any confidentiality obligation, fee, exclusivity, deliverable, or engagement term must be separately agreed in writing.
MIG RFQ and supplier/manufacturer proposals
Anchor ID: mig-rfq-and-supplier-proposals
MIG provides separate public routes for product quotation requests and supplier/manufacturer proposals. The quotation route may receive the categories listed in section 4.4; the proposal route may receive the categories listed in section 4.5. Neither current form provides a public file-upload control.
Visitors should not use these public forms to submit patient data, payment details, identity documents, confidential or export-controlled technical files, certification originals, full regulated dossiers, trade secrets, or other sensitive materials.
The MIG showcase is active. RFQ and supplier proposal routes are active. Prices, cart, checkout, account, and payment routes are retired or redirected to RFQ-only; no online purchase is available.
Submission of an RFQ or proposal does not create a confidentiality obligation or automatic non-disclosure agreement. Any confidentiality, IP protection, or non-use obligation must be separately agreed in writing.
Regulated products require separate compliance verification before any quotation or transaction.
DOUTRES Group general inquiries
Anchor ID: doutres-group-general-inquiries
The DOUTRES Group general contact form may receive the categories listed in section 4.1. It is intended for institutional, partnership, media/public-information, branch/ecosystem, supplier/manufacturer, and general group inquiries. It is not an emergency or sensitive-document channel.
15. Changes to this Privacy Policy
DOUTRES may update this Privacy Policy. The public page must show the effective date, last-updated date, version ID, language status, and an approved change summary. Versioning follows a date-based format (YYYY-MM-DD). Material changes are identified in the change log.
